This website, www.alhidayahtours.com (the “Site”), is owned and operated by Al Hidayah Tours (“we”, “us”, “our”). By accessing or using the Site, or by booking a Hajj or Umrah package with us, you agree to be bound by these Terms & Conditions. If you do not agree to them, please do not use the Site or our services.

Before publishing: the bracketed placeholders below need your actual business details — we could not independently verify your company number or registered office, and inserting the wrong ones would be worse than leaving them blank. The cancellation-charge percentages in Section B are also illustrative and should be checked against your own supplier and airline contracts before publishing. This document is a starting draft, not legal advice — see the note at the end.


Part 1 — Using This Site

1. Permitted use

You may browse the Site and use it to research and book Hajj and Umrah travel arrangements for personal, non-commercial purposes. You may not use the Site, or any content or pricing information on it, for commercial resale, republishing, or any purpose other than booking travel with us.

2. Site security

We may, without prior notice: introduce or change security measures on the Site; temporarily restrict or suspend access for any user; or take any other action we reasonably consider necessary to protect the Site and the information held within it.

3. Accuracy of content

We take reasonable care to keep the information on the Site accurate and up to date, including package prices, hotel details, flight information and visa guidance. However:

  • Some information (for example flight schedules or hotel star ratings) is supplied to us by third parties such as airlines and hotel operators, and we cannot guarantee its accuracy.
  • Technical issues, including transmission errors or software faults, may occasionally cause information on the Site to be incomplete or out of date.
  • The Site’s content, pricing and layout may change at any time without notice.

You should always confirm important details (dates, prices, visa requirements) directly with us before relying on them, and in any event your official confirmation invoice takes precedence over general Site content.

4. Intellectual property

You may view pages on the Site and print or download extracts for your own personal, non-commercial use, provided you keep all copyright and trademark notices intact. Except as allowed above, you may not copy, republish, redistribute, frame, mirror or scrape any part of the Site without our written permission. All other rights in the Site’s content, design and branding belong to Al Hidayah Tours or our licensors.

5. Links to other websites

The Site may link to third-party websites (for example, airline or payment provider sites) that we do not control. We are not responsible for the content, accuracy or privacy practices of those sites, and a link does not imply our endorsement of them.

6. Disclaimer and limitation of liability

  • The Site and its content are provided “as is”. So far as permitted by law, we make no warranty that the Site will always be available, error- free or completely accurate.
  • So far as permitted by law, we are not liable for indirect or consequential losses (such as loss of profit or opportunity) arising from your use of the Site.
  • Nothing in these Terms limits our liability for death or personal injury caused by our negligence, for fraudulent misrepresentation, or for any other liability that cannot lawfully be excluded.
  • If you are booking as a consumer, nothing in these Terms affects your statutory rights.

7. Changes to these Terms

We may update these Terms from time to time, for example to reflect legal or regulatory changes or changes to our services. Continued use of the Site after an update means you accept the revised Terms, so please check back periodically.

8. Governing law

These Terms are governed by the laws of England and Wales, and any disputes relating to the Site or your booking will be subject to the non-exclusive jurisdiction of the courts of England and Wales, without prejudice to any additional rights you may have as a consumer resident elsewhere in the UK.

9. Contact and correspondence

Official correspondence should be made through the contact details on the Site or directly with your booking consultant. We cannot take responsibility for miscommunication arising from unofficial channels (for example, messages sent to personal numbers not provided by us for business purposes).


Part 2 — Booking Conditions (apply to all Hajj & Umrah bookings)

10. Making a booking

The person who makes the booking is responsible for the full payment of all arrangements for every passenger included on that booking, and for ensuring the details of every traveller in the party are correct.

11. Deposit and confirmation

A booking is only confirmed once we have received your deposit and issued written confirmation. From that point, our cancellation charges (Section 15) apply. A booking made or confirmed by telephone is treated as binding in the same way as a booking confirmed in writing.

12. Pricing and surcharges

  • Charter flights: the price on your confirmation invoice will not be subject to surcharges once confirmed.
  • Scheduled flights: airlines may increase fares at any time before full payment is received; your price is only guaranteed once we have received payment in full.
  • A deposit secures your place on the booking — it does not guarantee the price shown at the time of deposit.
  • Our price guarantee does not cover increases resulting directly from government action (for example new taxes, passenger levies or fuel surcharges).

13. Changes to your arrangements

Minor changes (for example a small change to hotel room allocation) will be communicated to you as soon as reasonably possible.

Major changes (for example a change of departure airport, a change of scheduled departure time of more than 12 hours, or a change of destination airport) will only occur where circumstances beyond our control require it. Where this happens, we will contact you as soon as possible and offer you the choice to: accept the alternative arrangement; choose another available package of a similar price; or cancel and receive a full refund of monies already paid.

14. Group and minimum-numbers bookings

Some packages depend on a minimum number of travellers booking together. If that minimum is not reached, we reserve the right to cancel the package and refund all payments made, or to adjust the price to reflect the smaller group size.

15. Amendments and cancellations

If you wish to amend a booking (other than adding travellers), and we are able to accommodate the change, an amendment fee will apply — this will be confirmed to you at the time. Amendments must be requested in writing.

If you or a member of your party needs to cancel, the person who made the booking must notify us in writing. Cancellation charges are calculated from the date we receive that written notice, as a percentage of the total package cost:

Charter flights may carry a 100% cancellation charge both before and after ticket issue, reflecting airline policy. (These figures are illustrative — please confirm and update them to match your actual supplier and airline contract terms before publishing.)

16. Travel insurance

We strongly recommend that every traveller has adequate travel insurance in place, appropriate to Hajj/Umrah travel. Where insurance is arranged through us, a 14-day cooling-off period applies from the date of purchase, during which you may cancel for a full refund less any reasonable administration charge. After the cooling-off period, our standard cancellation charge for insurance is [insert amount] per person insured.

17. Passports, visas and health requirements

You are responsible for ensuring that every traveller in your party holds a valid passport (with the passport validity required for a Saudi visa) and any other travel documents required. We will support you through the Umrah or Hajj visa process, but we cannot accept liability if a passenger is refused travel or entry due to missing or invalid documentation.

You are also responsible for following up-to-date NHS and government travel health guidance for Saudi Arabia, including any required vaccinations, and for obtaining any recommended medication in good time before departure.

18. Special requests and medical conditions

If you have a special request (for example dietary needs or room preferences), let us know at the time of booking — we will pass this on to the relevant supplier but cannot guarantee it will be met, and failure to meet a request is not a breach of these Terms.

If you or a member of your party has a medical condition or disability that may affect your travel arrangements, please tell us in writing at the time of booking with full details, so we can try to accommodate your needs. If we reasonably believe we cannot properly support a traveller’s needs, we reserve the right to decline or cancel that booking.

19. Conduct during travel

You are responsible for any damage or loss caused by you or a member of your party during your trip, and for settling this directly with the relevant hotel, supplier or accommodation provider. We expect all pilgrims to behave respectfully towards fellow travellers and local communities. If, in our reasonable opinion, your conduct causes distress, danger or damage to others or to property, we may end your arrangements without notice; in this case we will not be responsible for any resulting costs, refunds or compensation.

20. Reconfirming flights

You should reconfirm your outbound and return flights at least 72 hours before each departure. We are not liable for additional costs arising from a failure to reconfirm, or from airline schedule changes made independently of us.

21. Force majeure

We are not liable for delays, changes or losses arising from circumstances beyond our reasonable control, including war, civil unrest, terrorism, natural disaster, extreme weather, air traffic control disputes, or airport/airspace closures. You can check current government travel advice for Saudi Arabia at gov.uk/foreign-travel-advice.

22. Our role and ATOL/IATA protection

Where we book flights, accommodation or transport on your behalf with third-party suppliers (such as airlines and hotels), we act as an agent for those suppliers, and your contract for that specific element is with the supplier named on your confirmation. Where we sell you a flight-inclusive package, that package is protected under the ATOL scheme.

If we, or a supplier named on your ATOL Certificate, become unable to provide your booked arrangements due to insolvency, an alternative ATOL holder may provide the services instead, or you may be entitled to claim under the ATOL scheme. Where applicable, you agree that any claim you have relating to non-provision of services may be assigned to the Air Travel Trust in connection with any payment made to you under the ATOL scheme.

23. Payment

You must pay any outstanding balance by the due date shown on your confirmation invoice. For some bookings, full payment may be required immediately — you will be told at the time if this applies. Failure to pay on time may result in cancellation of your booking, and you will remain liable for the applicable cancellation charge.

24. General Data Protection Regulation

By booking with us, you consent to Al Hidayah Tours processing your personal data (including passport and visa information) as necessary to arrange your Hajj or Umrah travel, in line with our Privacy Policy. Where we ask for sensitive personal data (for example health information), we will explain why it is needed and how it will be used.
